1. Who We Are
Breeze Software operates PayBreeze, a payroll and workforce-management platform available as a web application and iOS mobile app. This policy describes how we collect, use, and protect your personal data when you use the PayBreeze service (“Service”).
2. Data We Collect
We collect only the information needed to provide payroll, scheduling, and attendance features:
- Identity & Contact — name, known-as name, email address, phone number, date of birth, employee code.
- Employment Details — job title, department, pay rates, contract type, start date, bank account details (for payroll processing).
- Attendance & Time — clock-in / clock-out timestamps, shift schedules, timesheet entries, and absence records.
- Location Data — GPS coordinates captured only at the moment of clocking in or out to verify job-site attendance. Location is not tracked continuously.
- Biometric Authentication — Face ID / Touch ID is used locally on your device to unlock the app. Biometric data is never transmitted to our servers.
- Photos — an optional photo may be captured at clock-in or when returning equipment. Photos are stored securely and linked to your attendance or equipment record.
- Financial & Payroll Records — payslips, deductions, loans, and bonus information generated during payroll processing.
- Usage & Diagnostics — anonymised telemetry (screen views, API response times) used to improve reliability. No personally identifiable information is included.
3. How We Use Your Data
- Processing payroll, generating payslips, and managing deductions and loans.
- Recording and verifying attendance, including GPS location verification at job sites.
- Displaying your schedule, absence records, tasks, and messages from your employer.
- Authenticating your identity securely when you sign in to the app.
- Enabling your employer to manage workforce operations within the platform.
4. Legal Basis for Processing
- Contract performance — processing necessary to pay you and manage your employment.
- Legitimate interests — attendance verification, platform security, and fraud prevention.
- Legal obligation — payroll tax records and employment-law compliance.
- Consent — optional features such as photo capture at clock-in.
5. Data Sharing
We do not sell your personal data. Data is shared only with:
- Your employer — who administers the PayBreeze account and has access to your employment records.
- Infrastructure providers — Neon (PostgreSQL database hosting) and Replit (application hosting), both operating under strict data-processing agreements.
- Payment processor — Stripe, used solely for SaaS subscription billing between Breeze Software and employer accounts.
6. Data Retention
Employment and payroll records are retained for the period required by applicable employment and tax law (typically 7 years). Attendance photos and location logs are retained for 12 months unless a longer period is required by law.
7. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, delete, restrict, or port your personal data. To exercise these rights, contact your employer’s PayBreeze administrator, or write to us at the address in section 11.
8. Security
All data is encrypted in transit (TLS 1.2+) and at rest. Access is controlled by role-based permissions and multi-tenant database isolation — each employer’s data is stored in a dedicated, separate database with no cross-tenant access.
9. Children’s Privacy
PayBreeze is a professional workforce tool intended for use by employees aged 16 and over. We do not knowingly collect data from children under 16.
10. Changes to This Policy
We may update this policy from time to time. Significant changes will be communicated via the app or to your employer’s administrator. The “last updated” date at the top of this page reflects the most recent revision.
